Webilia Business Data
Webilia Business Data is part of Listdom Core. It searches business records and imports selected results as draft listings. Unlike CSV or Excel import, it does not start with your spreadsheet. Enrichment and refresh let an administrator review proposed changes to existing listings rather than silently replacing their content.
Before you start
Section titled “Before you start”Open Listdom → Webilia Connect and connect your Webilia account. Business Data uses Webilia Credits; review the displayed balance and estimate before starting a paid action. Enable Map & Address in Listdom settings to position a new business search. Your chosen map provider must also be configured. Business Data is not the Google Places add-on and does not require that add-on.
If Business Data displays Connect your website to get started, choose Go to Webilia Connect, then Connect to Webilia and finish linking your account. Return to Listdom → Import / Export → Business Data afterward. The connection prompt is a prerequisite, not an empty business search result; searching and matching are unavailable until the website is connected.
Understand and buy credits
Section titled “Understand and buy credits”Use the Listdom Credits page to compare current packages and buy a one-time top-up. Credits belong to your Webilia account, not to a single website, so supported services on your connected sites use the same balance. Buying credits does not upgrade or replace your Listdom license.
For supported listing search/import usage, the Credits page describes one credit as covering five listings. Always check the estimate shown for the particular action before confirming, especially for enrichment and refresh; do not assume every operation has the same cost. Connecting your first website offers the initial 20 Webilia Credits shown by the connection flow. Check the available account balance rather than expecting a separate free allocation for every site.
After topping up, return to Business Data and use Check balance again if the low-balance message is still shown. Manage your account at my.webilia.com.
If the balance is zero, Find Businesses shows Get more Webilia Credits to search instead of a new-search form. Choose Buy Webilia Credits to open the purchase page. Existing Recent searches can still be reopened and their saved results imported without another search charge. If that section says No recent searches, there are no saved searches to continue on this site.
Open Listdom → Import / Export → Business Data. Its sidebar provides Find Businesses, Enrich Listings, Refresh Listings, and History.
Find and import businesses
Section titled “Find and import businesses”1. Set the search area and categories
Section titled “1. Set the search area and categories”- Open Find Businesses.
- Type at least two characters in the category search and choose the business types you want. Select at least one category and no more than five. These are business-data search categories, not an instruction to replace your existing Listdom category structure.
- Position the marker at the center of the area you want to search.
- Set Radius (km). The allowed range is 0.1–50 km, with 25 km as the default. Use a smaller area when you need a focused neighborhood rather than an entire region.
- Set Maximum results, from 1 to 100. This limits the requested results; it is not a guarantee that enough matching businesses exist.
- Review the credit information, then select Search Webilia Business Data. A new search is a paid service action, not a free preview. Reopening saved results is different from running another search.
If the balance is insufficient, reduce Maximum results as directed by the message or buy a top-up. Do not repeatedly start the same paid search to find the import button.
2. Select the businesses to import
Section titled “2. Select the businesses to import”- Review names, addresses, and available business details in the results.
- Select the businesses that belong in your directory. Move between result pages as needed; previous selections remain available.
- Review the selection before choosing Next. Do not import every result merely because it was found within the search area.
If no businesses match, review the categories, marker position, radius, and result limit before starting another search. A result may not contain every contact field; importing it does not generate missing factual information.
3. Review Create draft listings
Section titled “3. Review Create draft listings”The Create draft listings dialog controls how the selected records become Listdom listings.
- Leave Automatically assign each business category enabled to use each business’s supplied category. Listdom creates the category if it does not already exist.
- To use your own directory categories instead, disable automatic assignment and choose at least one Categories term.
- Optionally choose Locations, Features, Tags, and Labels. The terms selected here are assigned to every draft in the selected import, so split businesses into separate imports when those assignments should differ.
- Enable Enrich listings previously imported from these results only if you want to fill supported empty contact and address fields on already imported businesses. This does not replace your edits or existing categories.
Choose Cancel to leave the dialog without creating drafts. When the choices are ready, select Create Drafts and wait for the completion result.
4. Check the outcome and publish deliberately
Section titled “4. Check the outcome and publish deliberately”Review Drafts created, Existing listings enriched, and Skipped, including each skipped reason. A previously imported business is normally skipped rather than duplicated. With the optional empty-field enrichment enabled, it can be updated instead; if it has nothing eligible to fill, it remains skipped.
Use Manage listings or the available Edit draft / Edit listing links to inspect the results. New listings are saved as drafts under the administrator performing the import. Check the name, address and map position, contact details, category, and other content before publishing. Review images if you add them; the import is not a promise that every business includes a photo.
The draft status prevents this import from immediately publishing new records, but changes to an existing published listing can affect its visible details.
Where duplicate enrichment is offered, it fills supported missing details rather than treating an existing listing as permission to overwrite everything. Imported source data is a starting point, not a substitute for editorial review.
Enrich existing listings
Section titled “Enrich existing listings”Use Enrich Listings when you need to match an existing listing to a business record.
- Check the listing has a usable name and an address or valid coordinates. Locked listings are not eligible for maintenance.
- Open Enrich Listings, search by listing title, and select the listings to maintain. You can also use Enrich with Business Data from a listing’s available management actions.
- Review the selected listing names and selection counter. Remove an unwanted selection with its × button. Use Previous and Next to find other pages; Select all listings on this page selects that page, not every listing in the directory. The maximum selection is 100.
- Select Estimate credits. Review the estimated cost for the current selection. This obtains a quote, not the business data or a listing update. If you change the selection, estimate again before fetching. Enrichment and refresh have their own estimates; the five-listings-per-credit search/import example is not their universal rate.
- If you accept that cost, select Fetch Business Data and review. This retrieves the business matches; fetching paid data and saving listing changes are separate steps.
- Choose the correct Business match for each listing. Compare name and address carefully rather than relying only on a similar name.
- Review the Current and Business Data columns and the Apply checkboxes. Supported differences can include phone, email, website, address, coordinates, social profiles, categories, brand, and operating status. Empty local fields may already be selected, so review every selected field.
- Use Skip this listing where no candidate is appropriate. Do not force a match to complete a batch.
- Select Apply selected changes only after reviewing the intended replacements, then inspect the saved/skipped counts and the affected listings.
The confirmed business identifier is retained for later refreshes. Changes are applied only after review; opening a match or comparison does not by itself replace the listing.
Refresh linked listings
Section titled “Refresh linked listings”Use Refresh Listings for listings already linked to a business record.
- Open Refresh Listings or the listing’s Refresh Business Data action.
- Find and select the linked listings. If a listing has never been linked, use enrichment first.
- Select Estimate credits, review the cost, then choose Fetch Business Data and review if you want to proceed.
- Compare the current listing values with the source changes.
- Keep Shared refresh rule → Review fields individually for per-listing choices. Select empty fields across the batch selects supported empty local fields; Select chosen field types across the batch lets you choose the kinds of fields to select throughout the batch.
- Check the resulting selections on every listing before applying. A shared rule can select replacements across many listings; it is not merely a display filter.
- Select Apply selected changes, then review the result and affected listings.
Category and social changes are part of the review, not an instruction to replace all local customization automatically. If the linked business cannot be found in the current provider data, use Match this listing again and review the new candidate manually.
A business reported as closed does not automatically cause Listdom to delete or unpublish its listing. Review its status and decide how your directory should handle it. Refresh is an administrator-initiated workflow, not an automatic scheduled synchronization promise.
History, interrupted actions, and credits
Section titled “History, interrupted actions, and credits”Use History to reopen recorded Business Data activity and inspect progress or completion messages. Before repeating an interrupted action, check its existing progress and result: starting a new paid search is different from returning to saved results. Credit balances can be fractional; use the displayed estimate and charge rather than rounding the balance yourself.
Recent searches retains up to 10 searches for 30 days. Open a saved result to continue reviewing or importing it without another new-search charge. The History view also includes recent search/import activity and the latest 50 maintenance operations; it is not an unlimited backup or a full undo log.
For interrupted maintenance, use Resume remaining batches when offered. Previously paid results can be restored without another charge when the existing operation is recognized. Review the progress and charged amount rather than assuming a fresh request is the same operation. If the review has expired, follow the message to fetch current data and review it again.
If listings were edited, locked, became ineligible, or their business was linked elsewhere during the workflow, some can be skipped. Review those reasons and the current listing before trying again. Do not treat a skipped count as proof that all requested changes were applied.
If the connection, balance, or required service is unavailable, follow the message shown by Business Data. Do not keep confirming paid actions while their result is unclear.
Common questions and troubleshooting
Section titled “Common questions and troubleshooting”Why is Business Data missing?
Section titled “Why is Business Data missing?”Check that you are using an administrator account with permission to manage Listdom, that the relevant Webilia Connect integration is enabled, and that the installed Listdom version includes Business Data. The connection prompt and an unavailable service are different states: follow the displayed guidance instead of assuming a paid license or credit top-up enables a disabled integration.
Why can I not start a new search?
Section titled “Why can I not start a new search?”Check the Webilia connection, credit balance, selected category, and Map & Address component. Use Check balance again or Try again for a failed balance check. If maps are disabled, enable the component in Listdom’s Advanced settings and verify the provider setup. Saved results may still be available even when a new map-based search cannot run.
Why is my balance zero even though the site is connected?
Section titled “Why is my balance zero even though the site is connected?”Connected to Webilia confirms the account link, not that paid usage is available. Check the balance of the connected Webilia account. Credits are shared across its websites, so connecting another website does not create a separate balance or repeat the first-website allocation. Buy a top-up if needed, return to Find Businesses, and select Check balance again. Do not disconnect and reconnect as a way to obtain more credits.
Why does enrichment show no eligible listings?
Section titled “Why does enrichment show no eligible listings?”Check the listing’s title and address or valid coordinates, its edit lock, and whether you selected the correct maintenance mode. Refresh requires an existing business link. Fix the listing information before asking the service to match it again.
In Refresh Listings, No eligible listings found can mean that no listings have a saved business link yet. This is different from No recent Business Data activity in History. Use Enrich Listings for an existing unlinked listing and review its business match first; merely connecting Webilia does not link existing listings to business records.
Does fetching data immediately overwrite my listing?
Section titled “Does fetching data immediately overwrite my listing?”No. The maintenance workflow presents matches and field differences first. Apply selected changes saves the reviewed choices. However, the lookup itself can consume credits, so review its estimate before fetching.
Will every business already entered manually be recognized as a duplicate?
Section titled “Will every business already entered manually be recognized as a duplicate?”Do not assume that. Import duplicate protection checks the saved business-source identifier, not simply whether a title looks similar. For an existing manually created listing, use Enrich Listings to review a business match instead of importing another record just to obtain its contact details.
Can I automatically keep every listing synchronized?
Section titled “Can I automatically keep every listing synchronized?”This is a reviewed, administrator-initiated process, not a scheduled automatic synchronization service. Check History and review field differences when maintaining the directory. There is no general one-click undo promise: preserve a backup before a large change, and review which published listings will be affected.
What if maintenance is unavailable even though the account is connected?
Section titled “What if maintenance is unavailable even though the account is connected?”Follow the service message. The installed Webilia Connect version and the active Business Data service must support maintenance. A connected account alone does not guarantee that every service operation is available. Update through the normal supported update process; do not keep spending credits to troubleshoot availability.
